
The art of data management is important to learn as one can ill afford to lose important data. This applies to paper files as well files on the computer. When storing them on the computer, it should be done in such a way that they can be located years after their creation.
The importance of the data is critical, as one needs to understand what the objectives of storing the data are. Applications can be of a wide range of matters. Such as up selling to existing customers, cross selling, reporting, billing, delivery, fulfillment and order taking. All of this information is relevant when completing the relevant fields for the capturing of the data.
Files should be stored in a folder call program files on the PC. All these applications should be saved there. All PC based applications should be housed in the programs folder.
Documents need to go in the my documents folder and not anywhere else on the computer. Stored here, they will be easy to find and what is more it makes doing backups much simpler. This includes all letters and spreadsheets. Within my documents one can create other folders for specific documents to be housed in.
Doing this will avoid having millions of documents lying randomly in the my documents folder. In real terms it is like having drawers in the filing cabinet that contain specific items. One is able to create folders within folders and doing this keeps everything neat and tidy. One should a file in each folder and not have a whole bunch of unlisted files all over the place that will most certainly cause a pile of confusion.
When labeling files and folders use only lower case, do not exceed twenty-seven characters and no spaces between characters either. Should one decide to use upper case then do this all the time for the point of consistency. Good data management is crucial if one wants to run a smooth operation on the computer.
